 Guest Check-in with PMS – Frequently Asked Questions (FAQ)

1. Why PMS used for guest check-in?

A Property Management System (PMS) is software that automates and manages front desk operations such as check-ins,  reservations, room assignments, billing, and guest profiles.

2. How do I check in a guest using the PMS?

General Steps:

1. Search for the guest, go to "Operations" > "Bookings" and check Name, Booking ID, Date, Email, Phone Number, Transaction Details or Room info (room type, meal plan, extra bedding, guest details, amount paid) to find and verify the reservation.

2. Go to "Operations" > "Check-in's" and see the booking of the guest which has same Booking ID, Customer Name, Date , Number Of Guests, Room Name and Payment Status.
- Click on the three dots in the "Actions" column, then select "Check-In's" to open the modal and proceed further.
3. Click on the "+" Icon besides the Guests to enter the Guest details.
-Select the ID type which is provided by the Guest (Aadhaar card, Driving license, Pan Card, Passport,Voter Id, Government Id or Others) and upload it in PDF format
- If the guest needs to change the "Room Type" or "Room Number" during "Check-in", this can only be done if the room is available. In such cases, the comments section is "Mandatory" to record the reason for future reference
- Enter the guest details including Name, Age, Phone Number, Address, and Vehicle Number.
4. Confirm the guest's identification by updating the reservation status to 'Check-In,' and verify it in the details of the On-Demand booking.
